Privacy policy
This policy explains what happens to the data you provide in a booking enquiry or contact form.
Data controller
Your data controller is Exclusivio Sp. z o.o., NIP 5252537825, ul. Hoza 86/410, 00-682 Warszawa. For questions about your personal data, email rezerwacje@kotsisa.com.
Data we collect
- your name, email address and phone number,
- the selected studio, rental dates, number of guests and message,
- the date and time of the enquiry and the confirmations you ticked,
- a hash of your IP address, stored for 24 hours solely to limit automated enquiries.
Purposes and legal grounds
- Responding to enquiries and entering into a tenancy agreement: Article 6(1)(b) GDPR, steps taken at your request before entering into a contract. This includes emails about acceptance, payment and booking confirmation.
- Accounting and tax obligations after payment: Article 6(1)(c) GDPR.
- Preventing abuse and establishing or pursuing claims: Article 6(1)(f) GDPR, our legitimate interests.
Providing data is voluntary, but we cannot respond to your enquiry or arrange a booking without it.
Who receives the data
- the hosting provider that stores this website and the enquiry database (Hostinger International Ltd., servers in the European Union),
- the email delivery provider (Resend Inc., USA, with transfers based on the European Commission’s standard contractual clauses),
- the person responsible for technical maintenance of the website, under a data processing agreement,
- WhatsApp (Meta Platforms Ireland Ltd.), only if you choose this contact channel after booking confirmation.
We do not sell your data or share it with other parties for marketing.
Retention
- enquiries that do not result in a booking: 12 months from the last contact,
- confirmed bookings: for the tenancy period, followed by the applicable limitation period for claims and statutory retention period for accounting records, up to six years.
Your rights
You may request access, correction, deletion, restriction of processing or portability of your data, and object to processing based on legitimate interests. Email rezerwacje@kotsisa.com. You also have the right to complain to the President of the Polish Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw).
Cookies and tracking
The public website does not use cookies or analytics and advertising tools. Fonts and photos load from our server. A session cookie is used only by the password-protected administration panel.
We do not make automated decisions or profile people who send enquiries.
